Questions to get you started:
1. What type of program are you looking for?
2. When would you like the program to take place?
3. What is your budget?
4. What is the age group of your audience?
5. How many people will be in the audience?
6. What curricular and/or social topics would you like addressed?
Information to Know
Virtual Arts Experiences
Our specially trained artists have adapted their programs to a virtual format to create joyful, arts-based learning for students. Recorded programs are approximately 40 minutes long and come with grade-specific curricular guides. Programs are available to be checked out via the Clever app or the learning management system on our website.
Community partnerships help make our virtual arts experiences AFFORDABLE and ACCESSIBLE. Contact our School and Community Relationships Coordinator to learn more about subsidies that may be available for your school, library, or community center.
Grant Funding
Arts for Learning is dedicated to making arts-in-education experiences accessible to all students, schools, and communities, regardless of their resources. This means that we work hard to raise money and partner with other organizations to provide funding opportunities, discounts, and promotions. We are here to help and will work with your budget!
Tours
What is a tour? A tour is a set number of programs (3-10) scheduled within a specific time span (2-5 days) and within a specific region. Tours are subject to change or cancellation if the minimum number of programs and/or dates are not met. Any artist who lives one or more hours travel time from your location may require a tour prior to scheduling your program. If your location is more than one-hour travel time from an artist’s home city, A4L may need to ensure a tour is scheduled for that artist. You can help ensure a tour by reaching out to other schools in your area that might also benefit from hosting your chosen artist.
All tour pricing is subject to change based on number of programs, travel distance, hotel stays, and meals. Please contact Aisha Noel, Programs and Community Engagement Manager, at 757-961-3737 if you have any questions.
Pricing
The fees listed with each program description reflect A4L underwriting support and are approved from July 2020. All fees are subject to change without notice. A4L reserves the right to negotiate a higher fee for any program taking place on weekends, in the evening, or for the general public.
Large Audience Fee
If the size of the audience exceeds the listed limits, a $75 fee will be added to each contract per every 100 students admitted beyond the target audience size. If the size of the audience exceeds the listed limits without prior contract approval, the same fee will be assessed post program.
Payment and Evaluations
Payments are due on or before the program date. Please do not give payment to A4L artists. Late fees will be applied to outstanding invoices. For your convenience, A4L accepts Visa, MasterCard, and American Express.
Please make checks payable to:
Young Audiences of Virginia, Inc.
420 N. Center Dr., Ste 239
Norfolk, VA 23502
Confirm and Prepare for the Program
Confirmation will be sent to you within 10 days of scheduling and is considered a binding, legal document that serves as the invoice/contract and provides important information regarding the program. Failure to return a signed confirmation does not constitute cancellation of the original verbal agreement.
Please advise the necessary school personnel of the technical requirements listed in the confirmation and of any special notes. If you do not receive your confirmation within 10 days, please notify our office immediately.
We require a teacher or other school employee to be present in the room or in the performance area at all times during the program. Artists have the right to refuse to conduct a program if a staff member is not in attendance.
Publicity and Documentation
All artists and ensembles listed in A4L’s online program guide are A4L performers and must be advertised as such in all publicity.
Cancellation/Rescheduling
Please be sure to check all schedules and to notify the appropriate staff for all programs. Programs canceled by the site/contact at any time after the written agreement has been confirmed and issued are subject to full or partial payment of the program fees. Cancellations seven or fewer days before the scheduled program are subject to full payment of the program fees.
Rescheduling or cancellation on the part of A4L or the artist due to illness, inclement weather, or other unforeseen circumstances will entitle the school to either reschedule the program or use a substitute ensemble (subject to the ensemble’s availability).
Rescheduling requests will not be granted on the day of the program. If the A4L artist arrives at the site and is turned away, payment will be due in full and the program will not be rescheduled. The program may be requested, at full price, for an additional date and time. There is a $25 fee when rescheduling is requested 14 or more days prior to the program start-date. The fee increases to $50 if rescheduling is requested within 7 to 13 days of the program start date. The fee increases to $75 if rescheduling is requested within 6 days of the program start date.
If you need to cancel a program due to weather or other emergencies, please notify A4L as soon as possible. A4L will work with you and the artist to reschedule as applicable. Rescheduling fees may apply.
